POSITION TITLE: Production Coordinator

POSITION SUMMARY:
ALICE + OLIVIA is seeking a highly organized, detail-oriented Production Coordinator to join our Creative Services team. This role will support the planning and execution of monthly e-commerce shoots while assisting across editorial, social, and brand productions. The ideal candidate is proactive, solutions-oriented, and comfortable wearing many hats in a fast-paced production environment.
This person is highly organized, and able to anticipate production needs while supporting both internal teams and external partners. They are a strong communicator, collaborative team player, and skilled at balancing multiple projects and priorities simultaneously.
KEY RESPONSIBILITIES:
- Support the planning and on-set production of e-commerce shoots, acting as a key liaison between internal teams and on-set crew.
- Coordinate shoot preparation including call sheets, decks, casting requests, go-sees, sample coordination, and general production logistics.
- Ensure freelance styling and photography teams adhere to established style guides, capture standards, and photography workflows.
- Maintain and update the e-commerce photography guide, including creative, styling, and operational processes.
- Assist with the production of editorial and social shoots including casting coordination, location research, talent outreach, and budget tracking.
- Maintain clear organization and reconciliation of all shoot expenses while supporting budget tracking and reporting.
- Attend and support all in-house produced photoshoots, assisting with on-set logistics and production needs.
- Maintain a stocked and organized production kit and production closet.
- Identify and help build relationships with emerging and established creative talent including photographers, stylists, models, agents, and other collaborators.
- Ensure production documentation, calendars, and shoot assets remain organized and up to date across multiple projects.
- Champion diversity and inclusion across all productions by helping prioritize diverse talent and vendor partnerships.
ESSENTIAL SKILLS, EXPERIENCE, AND EDUCATION REQUIREMENTS:
- Exceptional organization and time management skills with the ability to manage multiple priorities in a fast-paced environment.
- Process-oriented with strong attention to detail and the ability to anticipate production needs.
- Collaborative, proactive team player with strong communication skills, both written and verbal.
- Highly motivated, collaborative, a conceptual thinker.
- Excellent communication, both oral and written.
- Proficiency in presentation and planning tools such as Powerpoint, Excel, or similar production documentation platforms.
- Ability to transport materials and equipment and lift, move, and carry objects up to 50 pounds on a limited basis.
- Ability to work 10 – 14 hour days on photoshoots.
BENEFITS:
- $65,000 - 70,000 base salary (This range represents the low and high end of the anticipated base salary range for this NY - based position. The base salary will depend on numerous factors such as: experience and qualifications for the role, experience level, skillset, and balancing internal equity relative to other A+O employees.)
